1. Business Purpose & Scope
Trade Print and Mail (referred to herein as "Company," "we," "us," or "our") provides commercial B2B digital printing, precision folding, machine envelope inserting, and USPS direct mail fulfillment services to commercial clients, marketing agencies, and real estate professionals.
This Privacy Policy applies to personal and commercial data collected through our fulfillment platform at tradeprintandmail.com and tradeprintandmail.pages.dev/ltl, as well as offline communications with our production and billing desks.
2. Information We Collect
In the course of provisioning custom print and mail dispatches, we collect the following categories of information:
- Commercial Account & Contact Details: Full name, professional real estate license number, brokerage affiliation, business physical address, email address, and business telephone number.
- Print Customization Assets: High-resolution agent headshots, brokerage logos, custom return addresses, promotional slogans, and disclosure statements provided for inclusion in direct mail layouts.
- Geographic Farm Recipient Data: Public county property appraiser parcel data, street addresses, and recipient names extracted from official Florida tax rolls used exclusively for printing letter envelopes.
- Payment & Transaction Credentials: Billing address, postal zip code, selected billing cadence (monthly or quarterly), dispatch tiers, and tokenized payment tokens generated by certified third-party payment gateways.
- Technical & Telemetry Data: IP addresses, browser types, device specifications, operating system versions, and server access logs recorded during intake sessions to protect against fraudulent submissions.
3. Payment Processing Security & Tokenization Standards
PCI-DSS Level 1 Gateway Architecture
Trade Print and Mail does NOT collect, view, or store unencrypted credit card numbers, debit card numbers, or CVV security codes on its servers. All payment processing is conducted through Level-1 PCI-DSS certified merchant gateways, including Stripe and Helcim.
When you enter payment details into our checkout form, those credentials are transmitted directly and securely via 256-bit SSL/TLS encryption to the gateway vault, which returns an encrypted authorization token. Recurring seasonal charges are processed strictly through these secure tokenized vaults. Your credit card billing statement will display the merchant descriptor TRADEPRINT.
4. How We Use Your Information
We process your information strictly for legitimate commercial business purposes:
- To format, digitally image, print, fold, insert, stamp, and mail physical direct mail packages to your designated geographic farm.
- To verify addresses via USPS CASS (Coding Accuracy Support System) and NCOA (National Change of Address) postal hygiene protocols.
- To process scheduled recurring subscription fees and one-time sprint dispatch charges.
- To dispatch email receipts, digital print proofs, and postal verification confirmations.
- To maintain compliance with Florida Department of Revenue sales tax regulations, including Form DR-13 sales tax exemption records.
- To detect, prevent, and mitigate fraudulent transactions, unauthorized account usage, and chargeback abuse.
5. Zero Sale of Customer Data or Geographic Lists
Absolute No-Sale Policy
WE DO NOT SELL, RENT, MONETIZE, TRADE, OR LEASE YOUR PERSONAL INFORMATION, AGENT DETAILS, OR GEOGRAPHIC FARM RECIPIENT LISTS TO ANY THIRD-PARTY ADVERTISERS, LEAD BROKERS, OR EXTERNAL MARKETERS UNDER ANY CIRCUMSTANCES.
Your recipient farm data is utilized exclusively for manufacturing and addressing your authorized print campaigns.
6. Third-Party Service Providers & Disclosures
We disclose necessary operational data solely to trusted third-party service providers who assist us in operating our fulfillment facility, subject to strict confidentiality standards:

7. Data Retention & Physical Safeguards
We implement industry-standard administrative, technical, and physical safeguards designed to protect personal and business data against unauthorized access, loss, or alteration. All electronic communication is encrypted in transit using Transport Layer Security (TLS 1.3).
Retention Period: Commercial billing records, sales tax documentation, and dispatch verification logs are retained for a minimum of seven (7) years to comply with statutory accounting and Florida Department of Revenue auditing requirements. Digital print production files are archived securely to support repeat quarterly dispatches and account renewals.
8. Cookies & Local Storage
Our fulfillment site uses strictly necessary functional cookies and local storage tokens to preserve your selected dispatch tiers, farm size preferences, and session state across checkout steps. We do not deploy third-party cross-site behavioural tracking cookies or retargeting pixels.
